EditWise vs
Ziflow (2026)

Ziflow is built for approval chains, with multi-stage workflows and electronic signatures. EditWise is built for what an agency does after the approval: the round your client agreed to, the invoice line, the budget and the profit per client.

  • Ziflow brings SCIM user provisioning and two-factor sign-in. EditWise has neither.
  • EditWise joins review to the money, and we build it for you before you decide.

Approved

Ziflow runs the approval chain.
The money needs other tools.

Client work runs in nine steps: Request, Brief, Deliverable, Version, Review, Revision round, Approval, Invoice, Profit. Ziflow holds the deliverable, its versions, the review and the approval. It has no time tracking, no billing and no project money (checked 20 August 2026). For an agency, the steps after the approval are the ones that get forgotten.

  1. The round your client agreed to. Round four of a job you quoted for two. Nobody counted, so nobody paid. In EditWise, your client sees “Round 2 of 3” before they comment. A round past the allowance shows its price before they submit, and with their yes it becomes a line on the next invoice at the agreed rate.

  2. The invoice. The work went out three weeks ago. The invoice did not. EditWise flags delivered work with no invoice in amber on your first screen, from the day it goes out. It builds the invoice from delivered work, time, expenses and custom lines, priced off the client’s agreement, and exports it as a PDF. EditWise produces the commercial invoice that carries the line-item record of what was delivered and what was approved, and you file it through your own compliant system.

  3. Budgets and profit. Project budgets warn you when a job goes over. Profit per client comes from the budget, not a timer.

  4. The request. Clients send new work through a request form you design, and it lands as a project, not an email.

Example workspace: an approved deliverable, Autumn campaign film, on round 4 of 3.
Example workspace: the invoice that approval produced, with the extra revision round on its own line.

Where Ziflow is ahead:
approval workflows and sign-in.

If your approvals pass through several people in stages, Ziflow is built for that. These are Ziflow’s, and we do not offer them (checked 20 August 2026):

ZiflowEditWise
Multi-stage approval workflows. In EditWise, the client approves in the review room. Staged workflows are not offered.
Electronic signatures.Not offered in EditWise.
SCIM user provisioning. Not offered in EditWise.
Two-factor sign-in.Not offered in EditWise. EditWise signs people in without passwords, with one-time codes.

Ziflow plus a money tool is
two bills. EditWise is one.

With a proofing tool, you still need something for invoices, budgets and profit. That is a second bill, and a second place where the same job lives.

Ziflow
prices published on its pricing page, with 15, then 20, free users across its plans. Which plan and price fit a 10-person agency is not verified, so we do not add it up for you (checked 20 August 2026).
A money tool, for example Productive Professional
24 USD per user per month billed annually, with a ten-user minimum. For 10 people, 240 USD a month (checked 16 September 2026).
EditWise, 10 seats
one bill, $490 a month on annual. It covers review, rounds, invoices, budgets and client profit, and clients and reviewers are free and uncapped.

We are not saying the one bill is smaller. We are saying it is one: one record of what the client approved and what you billed for it, instead of two you match by hand. Prices exclude applicable tax.

Choose Ziflow if your
approval chain is the
hard part.

Choose Ziflow if you run a marketing or in-house team with complex approval chains, you need electronic signatures, SCIM user provisioning or two-factor sign-in, and you have no need for invoicing. Those are Ziflow’s strengths, and we offer none of them. EditWise is built for agencies that bill clients for approved work.

Frequently asked questions

Does EditWise have multi-stage approval workflows?

No. In EditWise, your client approves in the review room, and any comment can become a revision that counts toward the rounds they agreed to. If your approvals move through several people in fixed stages, Ziflow is built for that (checked 20 August 2026).

Does EditWise have two-factor sign-in or SSO?

No, neither. EditWise signs people in without passwords, with one-time codes, and keeps each agency’s data apart in the data layer. If your IT team requires two-factor sign-in or SCIM user provisioning, Ziflow offers both (checked 20 August 2026).

Does Ziflow do time tracking, billing or project money?

No. On 20 August 2026, Ziflow’s own pages showed no time tracking, no billing and no project money.

How many reviewers are free?

In EditWise, client contacts, external reviewers, guest approvers, stakeholders, and any collaborator who only views, comments or approves are free and uncapped. Ziflow includes 15, then 20, free users across its plans (checked 20 August 2026).

Can we keep Ziflow for proofing and use EditWise for the money?

You can, but the two will not talk to each other: EditWise has no integrations and no public API. The round count and the invoice line in EditWise come from reviews your clients do in EditWise.

What is the difference
between EditWise
and Ziflow?

Ziflow is a proofing tool with multi-stage approval workflows, electronic signatures, SCIM user provisioning and two-factor sign-in. It has no time tracking, billing or project money (checked 20 August 2026). EditWise is built for agencies that bill clients for approved work: it reviews video, images, PDFs and text documents and joins the approval to revision rounds the client sees, budgets and per-client profit, set up by the EditWise team before the buyer decides. EditWise produces the commercial invoice that carries the line-item record of what was delivered and what was approved, and you file it through your own compliant system.
