EditWise vs your
current stack (2026)

The drive holds the files. The board holds the tasks. The review tool holds the comments, and the invoicing app holds the invoices. Everything between them, you hold.

EditWise is one system for the whole job, from the client’s request to the profit on it. We build it from your website before you decide, and move your live work in when you start.

Your tools hold the steps. Nobody
holds the gaps between them.

A typical agency stack is a drive or shared folder, sheets or a board, a chat app, a review tool, an invoicing app and a time tracker. Each one does its job. Three parts of every job fall between them, and they land on you:

  • you

The revision round. Round four of a job you quoted for two. Nobody counted, so nobody paid.

  • you

The step from approval to invoice. The work went out three weeks ago. The invoice did not.

  • you

Profit per client. Three spreadsheets to answer one question.

Here is the same job, step by step, in a typical stack and in EditWise.

  1. Request: A chat app, email and calls.
  2. Brief: A doc, a sheet or a card on a board
  3. Deliverables and versions: A drive or shared folder
  4. Review: A review tool
  5. Revision round: you
  6. Approval: A reply in chat or email
  7. From approval to invoice: you
  8. Invoice: An invoicing app
  9. Profit per client: you
The same job, step by step: what holds each step in a typical stack, what holds it in EditWise, and where to check.
Step Typical stack today EditWise Where to check
Request A chat app, email and calls. Someone retypes each request. Request forms you design, assigned per client; each request lands as a project. A public request form takes work from people with no account. EditWise: Client request forms
Brief A doc, a sheet or a card on a board A project built from your templates, with the client’s answers in it EditWise: How it works
Deliverables and versions A drive or shared folder, and a file-naming rule Version history on every deliverable; older versions move to cold storage automatically EditWise: Client review and approval
Review A review tool for video, plus notes by chat, email and marked-up PDFs Video, images, PDFs and text documents in one room, opened from one link EditWise: Client review and approval
Revision round No tool. Counted from memory, if at all. Allowance per client or project; the client sees “Round 2 of 3” before commenting; an extra round shows its price before they submit and, with their yes, becomes a line on the next invoice EditWise: Revision rounds and invoicing
Approval A reply in chat or email The client presses approve in the review room EditWise: Client review and approval
From approval to invoice No tool. You remember, or you do not. Delivered work with no invoice is flagged in amber on your first screen, from the day it goes out EditWise: Revision rounds and invoicing
Invoice An invoicing app, filled in by hand Built from delivered work, time, expenses and custom lines, priced off the client’s agreement; PDF export; no payment collection. EditWise produces the commercial invoice that carries the line-item record of what was delivered and what was approved, and you file it through your own compliant system. EditWise: Revision rounds and invoicing
Time A time tracker Manual or stopwatch; a module you can switch off EditWise: How it works
Profit per client No tool. A spreadsheet at month end, if anyone has time. Project budgets with an over-budget warning; profit per client, from the budget, not a timer EditWise: Revision rounds and invoicing
Who holds it together You One system, set up for you EditWise: How it works

Seat price, 10 people Frame.io Team 250 USD plus Productive Professional 240 USD: 490 USD a month $490 a month Frame.io: frame.io/pricing, 16 September 2026 · Productive: productive.io/pricing, 16 September 2026 · EditWise: EditWise pricing
Seat price, 20 people No published price: Frame.io Team stops at 15 members and Enterprise is custom; Productive Professional 480 USD $980 a month Frame.io: frame.io/pricing, 16 September 2026 · Productive: productive.io/pricing, 16 September 2026 · EditWise: EditWise pricing

At 10 people, the review-plus-money
pair costs 490 USD a month. So does
EditWise.

Here is the review-plus-money pair at published list prices: Frame.io Team for review, Productive Professional for invoices and profit. Seat lines only, per month, before storage, with EditWise and Productive on annual billing, checked 16 September 2026.

Frame.io Team
25 USD per member per month, up to 15 members. For 10 people, 250 USD.
Productive Professional
24 USD per user per month, billed annually, ten-user minimum. For 10 people, 240 USD.
The pair, 10 people
490 USD a month.
EditWise, 10 seats
$490 a month. That matches the pair.
20 people
Frame.io Team stops at 15 members, and the next plan, Enterprise, has a custom price. Productive Professional is 480 USD. So the pair has no published price. EditWise is $980 a month.

Per person, it comes out even: one EditWise seat at $49 is one Frame.io Team seat at 25 USD plus one Productive Professional seat at 24 USD.

EditWise is not the cheaper option. What changes is who does the joining. With the pair, you are paying for both tools separately and matching them by hand. With EditWise, the approval and the invoice line sit in one system.

We counted every person on both tools. If only your editors need review seats, your pair costs less. Your drive, chat app and time tracker are in none of these sums, so add what you pay for them. Prices exclude applicable tax.

Your live work moves in at setup.
Your history is quoted separately.

When we set you up, we move your live projects and current deliverables in, and your team goes live on two live client projects first. Setup is included with an annual plan. If you have years of history in another system, we scope the move separately.

We scope it on a call and quote it in writing, never on the first call. A few months of files in a drive and years of projects in an old system are different jobs. One price for both would be wrong for half of you.

On the monthly plan, setup is $1,500 once. How the build works: Setup.

What setup includes:

  1. Your workspace built. Clients, contacts, users, roles and permissions mapped to how your firm actually divides work.

  2. Your project templates, built from your real service lines.

  3. Your intake forms, built from the questions you already ask clients.

  4. Your branding across the portal, the review links and every client touchpoint.

  5. Your install scope configured, module by module, with per-role landing views set so each person sees only their own surface.

  6. One live handover session with the owner and whoever will run it day to day.

  7. Role-specific recorded training, permanent, one short video per role.

You can build it yourself.
It breaks in three places.

A drive, a board and a few automations will run a task list. The glued version breaks where the client and the money come in, and you end up maintaining software on top of running an agency.

  1. The client portal. Your client needs one link, with your logo, that works without an account. A shared folder holds files. It does not show the client your logo, count the round or tie the approval to the invoice.

  2. Permissions per person. A freelancer should see their own tasks and the review room, and nothing about your rates. In EditWise, each person lands on their own screen, and you can keep editors away from pay and cost on a person, money on a project, money on a client, and the money value of logged time.

  3. The approved round that becomes an invoice line. This is the step glue does not hold. In EditWise, the client’s yes to an extra round writes the line to the next invoice at the agreed rate.

Someone has to keep the system working. With EditWise, that is us. Our own production team runs its client work on EditWise every day, so when something breaks, it breaks for us first.

Already have a system?
Do not switch everything.

You do not have to move your agency to find out. Pick one way in:

  • See it first. After a 10-minute call, we build your workspace from your website with three of your real clients in it, and walk you through it on a 45-minute call. You pay nothing to see it.

  • Run one service line alongside for a month. Or one client. Keep everything else where it is. If the client’s notes and the invoice end up in the same place and nobody chases anyone, you will know. If not, stop. Month to month is $59 a seat, cancel any month, with setup at $1,500 once.

  • Start with review only. The Review install puts your client reviews into EditWise and leaves the money side switched off. Your team keeps what it runs today for everything else. Same price, and anything switched off turns on later without a contract change.

Five paid seats minimum. Prices exclude applicable tax.

Keep your stack if
nothing is breaking yet.

Your stack has real advantages. Nobody has to switch. Your team already knows the tools. Some of them cost little or nothing. If no round has gone unbilled, no invoice has slipped and no client note has gone missing, keep what you have. If nothing is breaking yet, you do not need us yet. Come back when it is.

It works.
Until the next client,
the next hire,
the next busy month.

Frequently asked questions

Do we have to move everything at once?

No. Run one service line or one client in EditWise for a month alongside your stack, or start with the Review install, which covers client review only. Anything switched off turns on later without a contract change.

What happens to our old projects?

Your live projects and current deliverables move in at setup. Years of history in another system is a separate job: we scope it on a call and quote it in writing.

Does EditWise connect to our drive, chat app or accounting software?

No. EditWise has no integrations and no public API in year one. Your clients get the review link in any chat you already use. You can log a client conversation in EditWise and label its channel, such as WhatsApp or email, but EditWise sends and reads no messages. Invoices export as PDF. EditWise produces the commercial invoice that carries the line-item record of what was delivered and what was approved, and you file it through your own compliant system.

Will EditWise cost less than our stack?

Not on seat price. At 10 people, Frame.io Team plus Productive Professional costs 490 USD a month (checked 16 September 2026). EditWise costs $490. What you get for the same money is one system, set up for you. Prices exclude applicable tax.

Do clients and freelancers count as seats?

Clients never do. A paid seat is anyone who is assigned work or logs time, so a freelancer on a job takes a seat while they work. Seats are named and freely reassignable, unlimited swaps, at no charge, so the seat moves with the work. Client contacts, external reviewers, guest approvers and stakeholders are free and uncapped.

Who builds the workspace, and how long does it take?

Marko Šipka, our onboarding lead, builds it by hand in about 45 minutes, from your website and the 10-minute call. It is about 90 percent done when you see it, so you add the last piece yourself. If you buy, it becomes yours.

What does a typical agency tool stack cost next to one system?

A typical review-plus-money pair costs 490 USD a month for 10 people: Frame.io Team at 25 USD per member per month plus Productive Professional at 24 USD per user per month, billed annually (seat lines only, checked 16 September 2026). EditWise costs $490 a month for 10 seats. Frame.io Team stops at 15 members, so at 20 people the pair has no published price. Drive, chat and time tracking cost extra. The pair leaves revision rounds, approval to invoice and per-client profit to the owner. EditWise holds all nine steps, set up before the buyer decides. Prices exclude applicable tax.
